Finance in SharePoint

November 2, 2014

The Finance Department manages money:

-- Budgets: Someone has to make sure that the company is not overspending. A SharePoint 2010 intranet template can be used for reporting purposes and sending notifications on over-expenditures.

-- Forecasting: Projecting future earnings. Using SharePoint 2010 intranet template graphing capabilities and Business Intelligence functions can put you ahead of the curve.

-- Payroll: This involves getting government W-2 statements, processing employee paychecks, payroll advances, processing adjustments and transfers, and maintain payroll tracking and reporting systems. An intranet template is great for housing all of this data and connecting to 3rd party payroll systems. And it can be tied in with your SharePoint Staff Directory.

-- Taxes: Managing taxes for employees and the company. Keeping records in SharePoint 2010 intranet template document libraries is essential to making proper tax estimations.

-- Travel: Processing travel requests (like finding good deals on hotel, car rental, and flights) and expense statements. InfoPath forms can be used here to make the requests and HR personnel can fill in details in the response back to the employee.

-- Education: Sometimes companies will pay for college classes and entire degree programs. Keeping track of all of this is important and the SharePoint Employee Directory is perfect for that.

-- General Accounting: Handling internal customer questions and problems, maintaining the integrity of the financial accounting systems. An intranet template has several great accounting packages.

-- Accounts Payable: Generating invoices for payment, and generate requisitions & purchase orders. Intranet template InfoPath automated forms are perfect for this kind of activity.

-- Accounts Receivable: Deals with money owed to the company which is handled by invoice generation and also collections for late payments. SharePoint can keep track of collection inquiries and tied in with the SharePoint Employee Directory.

-- Inventory: Keeping track of company assets (laptops, printers, phones) keeps fraud in check. SharePoint lists can be used to store this data.

-- Petty cash: These need to be tracked. Once again, a SharePoint 2013 template list can manage this data and tied in with the SharePoint Staff Directory.

-- Auditing: Done to make sure money status is what's expected and also we can check for Fraud investigation (embezzlement, theft). SharePoint 2013 template fraud systems can analyze data in accounting systems to find oddities.

-- Bill Payments: Someone has to pay the rent, electric bill, building services, etc. SharePoint 2013 template can keep track of all of this data and tied to the SharePoint Employee Directory.

SharePoint Productivity

November 2, 2014

A SharePoint portal represents a leap in productivity software. Think of it like a central hive of worker data. Created by Microsoft, SharePoint portal is one of their best selling products in the company's prestigious history. But what is SharePoint? It is a SharePoint 2010 portal (or SharePoint 2013 portal)...also known as an intranet and it enables employees to find out what's going on in the company, keep track of their assigned tasks, share thoughts and ideas with other employees, and in general it fosters community within an organization. "Community" is an often overlooked item because it cannot be measured easily in your SharePoint 2010 demo or SharePoint 2013 demo. A good example of how community and employee morale is overlooked is a company that cuts off air-conditioning to an office after 5 PM to save some money on their electric bill. Sounds like a reasonable move for cash-strapped companies. The unfortunate side effect is that salaried employees who stay late now go home at 5 PM because it's unbearable in the office. In the short-term, managers will see a reduction in cost and they are happy. But over time, the valuable work that gets done but is now not getting done will accumulate in losses over the long-term. Not only that, turnover in employees will increase because of lower morale. So, it's quite important to allow employee some "play time" on their SharePoint intranet portal -- we all know this can become excessive, so some accountability is required. Whether you have a SharePoint 2010 portal or a SharePoint 2013 portal.

SharePoint search in a SharePoint intranet portal is a great way to find information fast on your SharePoint portal. What you'll find happening in your organization over time is that employees will put up tons of documents everywhere and then no one can find anything. Even sometimes search will break down due to a high number of search results. This is where an employee self-service site would be a great option to store your high-traffic docs. For example, you might store timesheet templates, expense report templates, vacation request forms, etc. on the employee self-service site. You might also have links to important pages here. Pretty useful when SharePoint search produces thousands of results. If you are in conversation with a SharePoint consulting company, it's good to ask them for a SharePoint 2010 demo or a SharePoint 2013 demo.

If you are flirting with the thought of putting up a SharePoint 2010 portal or a SharePoint 2013 portal in your organization? Well, a SharePoint intranet portal

is a must have in your organization. Check out an example here and contact us here. We can provide you a SharePoint 2010 demo or a SharePoint 2013 demo.

Functions in SharePoint 2013

November 2, 2014

There's a new sharing function in SharePoint templates 2013 called Access Request and Invitations. When user's try to access sites they don't have permissions to access, they will get a screen that permits them to enter a message which will be sent directly to the administrator. Administrators can have conversations back and forth with these users in these particular SharePoint solutions.

Shredded Storage is another new feature in SharePoint templates that governs how data (including documents) is stored in SQL Server. In older versions, each version of a file was stored in the database separately. But now, only changes are stored thereby reducing space sometimes by a factor of 5. This also increases performance since document retrieval times are lowered with the reduced file sizes. SharePoint templates contains smart algorithms to rebuild files from previous versions just knowing what changed.

The Content Search Web Part (CSWP) shows content from the search index in the SharePoint templates.

When it comes to SharePoint 2013 Branding, it's a whole lot easier than in SharePoint 2010. With IBX, you get a branding tool to accomplish your SharePoint 2013 Branding goals.

Device-Specific Master Pages allow the same content to be shown on different devices like PC's, tablets, and phones. A device channel is created per device type (i.e., browser). This is done under design manager. Then you have to specify a user agent string (which identifies the device's browser to SharePoint templates 2013). Then different master pages can be mapped to different devices.

SkyDrive Pro is a storage resource in SharePoint templates 2013. And it can even synch your files to your computer and other devices. That's the perfect example of SharePoint solutions that increase productivity.

A list is like a database table in SharePoint 2013 intranet template that is uncomplicated enough for regular users to understand. When certain columns are hidden or aggregated, we get a different view of it. Like if you had a list of tasks and wanted to see only incomplete tasks or tasks due by Friday, these would be views of the task list. While viewing lists (or views of them), you can filter and sort them to your needs). System views are maintained by admins only on the SharePoint 2013 intranet template and personal views are for your eyes only (you have the option to make it a public view as well).

HR in SharePoint

November 1, 2014

The Human Resource department deals with employee matters such as:

-- Recruitment of qualified applicants: Intranet templates can store all resumes in a document library and we can add extra fields here to the SharePoint intranet examples.

-- Employment on-boarding and orientation: Intranet templates onboarding apps involve workflows applied to new employees to ensure that they meet everyone required, attend all orientations, watch all videos, and sign all necessary forms within SharePoint intranet examples.

-- Retirement processing: Intranet templates can connect to 401k and other retirement systems to display current retirement account funds. Or, it can simply provide a static wiki page giving the details on how to connect to a third party retirement company where the employee's retirement account is managed.

-- Medical benefits: SharePoint 2010 intranet can store the current set of benefits that each employee has elected with the current medical provider and also display what the company pays versus what the employee pays.

-- Job Classification: Used to objectively and accurately define the duties of each role in the company. SharePoint 2010 intranet can store information for each job required including knowledge required, problem solving required, and level of accountability.

-- Compensation research: Finding out current market salaries for various job roles that the company requires is imperative to recruiting good talent and also for maintaining solid resources (thereby reducing turnover). SharePoint 2010 template can store this data and construct graphs so executives can see the salary growth in each role and see if employee turnover is related to being under market rate as shown in your SharePoint intranet examples.

-- Employee relations: Enforces corporate rules and culture and resolve workplace issues. SharePoint templates 2010 are typically used here for maintaining documentation on policies.

-- Employee assistance programs: Helps employee deal with personal problems that can have an adverse impact on their job performance. SharePoint 2010 intranet can hold resource information like how to contact mental health counselors, substance abuse counselors, legal dealings, etc.

-- Personnel Records: SharePoint can house each employee's resume, job application, 401k registrations, healthcare enrollment documents, etc.

-- Performance Evaluation: SharePoint 2010 template can hold objectives and plans for each employee and create dashboards to measure the effectiveness and efficiencies as metrics to see if the employee is on track or off track. Manager feedback can be held here as well. If compensation is tied to performance, as milestones are achieved successfully, messages can be passed to accounting to provide these commissions or bonuses in the next paycheck.

-- Staff Grievance: InfoPath forms in a SharePoint 2010 template can be used here which will be sent to the HR manager for review.

-- Sexual Harassment Education and Investigations: Considered an important part of workplace ethics, sexual harassment videos can be stored here in SharePoint templates 2010 and when an employee finishes watching it, he can digitally sign a document indicating that he has watched and understood all policies regarding this. Regarding investigations, it's important to maintain legal records on the whole matter.

Office 365 Uses

November 1, 2014

SharePoint intranets are an enormous undertaking by Microsoft. Intranet software is one of their greatest sources of earnings and for good reason -- it actually lets work together seamlessly. It is truly a collaborative platform for teams to be more productive. It supports features like document and content management, extranet support, BI (Business Intelligence), search, portal for employees, automated forms, workflow, communities, discussion boards, content tagging, Wikis, alerts and notifications. The list goes on and on. You can also do SharePoint customization as much as you need for your intranet software.

The interface of SharePoint Office 365 is user friendly and great for tech and non-tech users. The great part of SharePoint intranets is that everyone is used to Microsoft Office and there are many things about SharePoint that will be familiar. When we provide users with access to information that they need, this will aid with cost reduction and productivity increases. As it turns out, about 80% of Fortune 500 companies use SharePoint. There 3 versions of SharePoint: SharePoint Foundation, SharePoint Standard, and SharePoint Enterprise. These are on-premise solutions and there is also an in-cloud version of SharePoint called SharePoint Office 365. When it comes to a SharePoint customization, Office 365 is not as easy to customize for SharePoint developers compared to on-premise SharePoint intranets (in the category of intranet software).

SharePoint Office 365 is a great tool for all types of users -- it supports over 40 languages. There is a standard version and a dedicated version and even a student version. It is a cost-effective alternative to the on-premise versions of SharePoint. It is so inexpensive -- it can be as low as $5/month and SharePoint customization is easy for a SharePoint consultant.

SharePoint intranet sites can include components like task lists, document libraries, picture libraries, maps, weather, birthdays, anniversaries, rotating banners, and many other items that are useful for SharePoint intranet sites.

If you are debating whether or not to go with in the cloud or on-premise SharePoint, then the real factor is cost and in-house staff that can support this software. The advantage of going with the on-premise version is that it can be customized to a much deeper level because of all of the tight security restrictions in Office 365. Even if you get SharePoint Foundation which is free, paying the personnel to support can be a daunting cost for small and mid-size companies. That's why turn-key solutions like IBX are a good idea.
